Secret Santa budget and rules

One spending limit, a fair draw and a date. That is all a gift exchange needs to go smoothly.

Set the limit before the draw

A gift exchange works when everyone spends about the same. If one person spends 15 and another 60, someone ends up embarrassed. Agree on the limit in writing, in the same group chat you use to organise it, before anyone draws a name.

A simple way to pick it without an awkward conversation: ask everyone privately for the most they are comfortable spending and use the lowest answer, or the second lowest in a big group. Nobody is priced out. At the office, keep the limit lower than with family: salaries differ and nobody chose their colleagues.

Fit it into your holiday budget

The exchange is usually on top of your other gifts, not instead of them. Check your December total before you agree to a number.

Example with made-up numbers
Holiday budget: 600 · close family gifts: 300 · food and drinks (your share): 150
Left for everything else: 150
Family Secret Santa: 30 · office Secret Santa: 20 → 100 left as a buffer

If two exchanges eat your buffer, suggest a lower limit or join only one. It is easier to say so on day one than the week before.

How to draw names so nobody gets themselves

  1. Slips of paper, with one rule: if anyone draws their own name, everyone puts theirs back and you draw again. Simple, but everyone has to be in the room.
  2. The circle method: put the names in a random order (draw them out of a hat once) and each person gives to the next name on the list; the last person gives to the first. Nobody gets themselves and you never redraw.
  3. Remote: one person who is not taking part builds the circle and messages each person privately with their match. If everyone is taking part, use a draw app or a spreadsheet with random numbers.

If couples should not draw each other, keep at least one other name between them in the circle.

Rules worth agreeing on

Gift ideas by type, not by brand

Think in categories: something to eat or drink (a small hamper, coffee, local treats), something used every day (a mug, a 2027 planner, a water bottle), a small experience (cinema tickets, a class) or something handmade. With a low limit, what people remember is that the gift fits them.

For the rest of your gifts and the dinner, keep everything in one holiday gift budget, and decide your overall number with how much to spend on Christmas gifts.

A one-line announcement

Put the essentials in one message: limit, draw date, exchange date and where to send wish lists. Pin it in the group chat so nobody has to ask again.

Frequently asked questions

How much should you spend on Secret Santa?

There is no standard amount: the group decides before the draw. A practical rule is to use the lowest maximum anyone named, so nobody is priced out.

How do you draw Secret Santa names so no one gets themselves?

Use the circle method: put the names in a random order and each person gives to the next; the last gives to the first. No redraws needed.

Can you do Secret Santa remotely?

Yes. Someone who is not taking part builds the circle and messages each person their match, or you use a draw app or a spreadsheet with random numbers. Gifts are mailed or exchanged at the next meeting.
